How Robert Handles Your Data with AI

The short version

Your data is yours. We don’t train AI models on it, build custom models from it, or let anyone else train on it. When you use an AI feature in Robert, your content goes to a provider, they send back a response, and that’s it.

You own everything you create

Everything you write, upload, or generate in Robert belongs to you — including AI-generated responses. We don’t claim any ownership over your content or AI outputs.

If you delete something, it enters a 30-day recovery window and then it’s gone. If you delete your account, everything goes with it.

What happens when you use AI

When you use an AI feature in Robert:

  1. You type a prompt or select content you want AI to work with.
  2. Robert sends that content to one of our AI providers (OpenAI, Google, or Anthropic) over an encrypted connection.
  3. The provider generates a response and sends it back.
  4. Your prompt and the response are stored in your workspace so you can reference them later.

That’s it. No copies floating around, no one mining your work for training data.

What we store and process

Robert stores and processes several types of content:

  • Files and media — uploaded files, images, and videos are stored in Cloudflare R2. They stay there until you delete them.
  • Transcription — when you upload audio or video, we send it to Deepgram or AssemblyAI to generate a text transcript. The transcript is stored in your workspace. These providers do not retain your audio after processing.
  • Documents and workspace data — your documents, comments, chats, and other workspace content live in our database (Convex).
  • AI interactions — your prompts and AI-generated responses are stored in your workspace so you can access them later. They are not shared with anyone else.

None of this content is used for training, analytics, or anything other than providing the service to you.

What we don’t do

  • We never use your documents, files, chats, or any other content to train AI models — ours or anyone else’s.
  • We never build custom models based on your data.
  • We never share your content with other customers or use it to improve responses for other users.
  • We never sell your data to AI companies, data brokers, or anyone else.

Where your data lives

Your content is stored in two places, both controlled by us:

  • Convex — our database, where your documents, chats, and workspace data live
  • Cloudflare R2 — our file storage, where your uploaded files, images, videos, and media are kept

Both use encryption at rest and in transit. Your data doesn’t leave these systems unless you trigger an AI feature or transcription, at which point only the relevant content is sent to the provider for processing.

The trade-off

When you use AI features, your content does leave Robert’s servers temporarily. It travels over an encrypted connection to a provider, gets processed, and comes back. The same applies to transcription — your audio goes to a transcription provider and comes back as text.

The data goes nowhere else and is protected by binding contracts with every provider.

Our providers

Robert works with several providers. We have agreements with each that prohibit them from using your data for training or retaining it beyond what’s needed to process your request.

  • AI (OpenAI, Google, Anthropic) — generate responses to your prompts
  • Transcription (Deepgram, AssemblyAI) — convert your audio and video files to text

These are binding contractual obligations. We use business API agreements with each provider because they include these protections.

AI is not perfect

AI-generated content may be inaccurate, incomplete, or unsuitable for your purposes. Always review and verify AI outputs before relying on them for decisions, publishing, or sharing.
